Structuring meeting notes
Extract decisions, actions, and open points from rough notes.
After this lesson
You turn messy notes into a clear action list without inventing information.
In view · Choices and control
From notes to three sections
Use only permitted or fictitious meeting notes as a source.
Request decisions, actions and open points to be ordered separately.
Do not automatically fill in missing responsible parties; mark them as open.
Part 1 of 3 · Raw notes
Your preference for less movement is on. Choose each part yourself.
Ask for structure
Decisions, actions (with owner and deadline), open questions.
No additions
Explicitly ask to mark missing information as "to be determined".
Check
Compare the action list with the original notes.
New practice example
From explanation to a usable result.
Structuring notes means separating decisions, actions, and open questions.
Fictional practice situationFictitious meeting: we are choosing the small room. Noor is requesting the access badge. Perhaps we will rent a projector. A deadline for Noor is not mentioned.
View a possible solution
This is how it can be done
Decision: small room chosen. Action: Noor requests the badge; deadline yet to be determined. Open question: is a projector needed? “Rent projector” does not become a confirmed action as long as no decision has been made about it.
Why this works
A clear table can make a suspicion appear final incorrectly. The original formulation determines the category, not the neat format.
Make it slightly more difficult
Add a sentence in which someone suggests a different room. Retain both the decision made and the subsequent proposal, and mark the difference.
Extra practice, at your own pace. You do not need to submit anything. This does not count towards an automatic assessment.

Why this approach works
A clear table can make a suspicion appear final incorrectly. The original formulation determines the category, not the neat format.
A step further

Organise meeting notes
Categorise the notes as decision, action or open question. Make missing owners and deadlines visible.
The notes below come from one fictional meeting. Choose what was actually decided, who is going to do something and what is still a question.
- Decisions
- 0
- Actions
- 0
- Open questions
- 0
Action list based on your layout
Choose “Action” for a note to fill the action list.
A missing deadline remains “To be determined”. A neat table is no reason to invent one yourself.
This trial works locally with fictitious data and does not count towards your lesson completion. It starts anew with a new lesson or reload.
A prompt to get you started
Turn the notes below into an action list with columns: action, owner, deadline. Use only explicit agreements. Use "to be determined" where something is missing. Notes: [notes].
Apply it
In fictional meeting minutes it states: Noor checks the text on Friday; someone reserves the room later.
Which approach best fits this situation?
- Assign both actions to Noor because her name is mentioned.
- Have AI come up with a probable deadline for each action.
- Retain Noor and Friday; mark the owner and date of the room action as unknown.
With JavaScript, you can check your approach and receive immediate feedback.
Test your insight
What should AI do if the owner of an action is missing?
- Fill in the most likely colleague.
- Leave the action out.
- Mention that the owner is yet to be determined.
Extra practice
Describe how you would ask AI to convert meeting notes, including the rule about missing information.
Ask for decisions, actions, and open points. Rule: do not invent owners or deadlines; mark as "to be determined".
