Rewriting emails with AI

Turn a rough text into a clear, appropriate email.

After this lesson

You can write a prompt that defines the tone, length, and purpose of an email.

In view · Step by step

Rewrite an email while preserving facts

  1. Use a fictitious email and mark the fixed facts.

  2. Request a shorter or friendlier formulation for the chosen reader.

  3. Check date, appointment and next step in both versions.

Remember: A friendlier tone must not add any extra promises. Open het volledige schema ↗

Specify the purpose

What should the reader know or do after the email?

Set tone and length

For example: friendly, maximum 100 words, no new promises.

Check promises

AI sometimes adds discounts, deadlines, or guarantees that you have not given.

New practice example

From explanation to a usable result.

Improving a customer email begins with establishing which facts and commitments must remain the same.

Fictional practice situation

A fictitious bicycle repairer writes: we have received your bicycle. A price proposal will follow after the diagnosis. No repair date has been agreed yet.

View a possible solution

This is how it can be done

Make the text warmer: “Thank you for bringing in your bicycle. After the diagnosis, we will provide you with a price proposal. We have not yet agreed on a repair date.” A promise such as “ready tomorrow” does not belong there.

Why this works

The new version changes the tone, not the schedule or the agreement on the price. You must also check that distinction with a smooth AI response.

Make it slightly more difficult

Now create a version for an SMS of maximum 35 words and check whether the uncertainty regarding the repair date is maintained.

Extra practice, at your own pace. You do not need to submit anything. This does not count towards an automatic assessment.

Your workplace · learning by doing

Make something. See what changes.

Ende, your light pink practice buddy

The fictitious source is included. Only when selecting ‘Let Ende answer’ do you send your assignment to the AI service. Do not use private data.

Checking the AI connection… You can already view the written example.

Your result

No answer yet

Present your assignment to Ende.
Read the answer, change one thing, and compare.

You remain in control

What do you want to improve in your next attempt?

My own check

On this device only. AI answers remain only in this page memory. This is self-review, not a grade.

Why this approach works

The new version changes the tone, not the schedule or the agreement on the price. You must also check that distinction with a smooth AI response.

A step further

Now create a version for an SMS of maximum 35 words and check whether the uncertainty regarding the repair date is maintained.

Try & discover · no obligation

Rewrite without changing the facts

Save a version and then change én choice. Which differences are style and which change the content?

Fictitious source: from Wednesday the workshop is open from 9 to 16 o'clock. The precise calendar date is not yet known. No discount has been announced.

Two written style examples: “Hi!” is friendly, “Dear visitor,” is businesslike. You change fixed text elements, not a generated AI response.

Choose one change at a time
The facts are preserved in this written variant. Save a version to compare further.

Source text

Fictitious source: from Wednesday the workshop is open from 9 to 16 o'clock. The precise calendar date is not yet known. No discount has been announced.

Your compiled version

Hi! From Wednesday, the workshop is open from 9 am to 4 pm. The exact date is not yet known.

20 words · English

The known hours remain preserved and the unknown date remains visibly open.

All variants are pre-written. The check responds to your choices and does not assess free text. In a real translation or rewrite, you also check nuance, tone and agreements.

This trial works locally with fictitious data and does not count towards your lesson completion. It starts anew with a new lesson or reload.

A prompt to get you started

Rewrite the rough text below into a friendly email of maximum 100 words. Purpose: confirm that we have received the inquiry and ask for a preferred time. Do not invent prices or promises. Text: [rough text].

Apply it

You request a polite acknowledgement of receipt. The AI adds a delivery promise for tomorrow, even though you did not provide a delivery date.

Which approach best fits this situation?

  • Send the email because a concrete date is customer-friendly.
  • Remove the promise and leave the unknown date explicitly open.
  • Add a discount yourself as compensation for the uncertainty.

With JavaScript, you can check your approach and receive immediate feedback.

Test your insight

What should you always check in an email written by AI?

  • Only the spelling.
  • Whether new promises or facts have been added that you have not given.
  • Nothing, AI is always correct.
Extra practice

Write a prompt for rewriting an email. Mention purpose, tone, maximum length, and what AI must not add.

Purpose: follow-up after a meeting. Tone: professional and warm. Max 90 words. Do not invent prices or deadlines.
